International Relations Office - Exchange Partner Application Process

Introduction to the Exchange Program

Universitas Katolik Parahyangan (UNPAR) is a leading private university in Indonesia, located in the beautiful city of Bandung. We are committed to fostering global citizenship through international academic mobility. Our Exchange Program offers students from partner universities the opportunity to study at UNPAR for one or two semesters while earning credits to transfer back to their home institutions.

This page serves as a comprehensive guide for International Relations Officers (IROs) and students from our partner universities regarding the application process, nomination procedures, and required documentation for incoming exchange students.

Eligibility & Partnership Status

To apply for the exchange program, there must be a valid active Memorandum of Understanding (MoU) and Memorandum of Agreement (MoA) between Universitas Katolik Parahyangan and the partner university. Students are only eligible to apply if they are currently enrolled in a degree program at one of our official partner institutions.

The Application Procedure

The application process is a collaborative effort between the home university and the student. It follows a two-stage procedure: Nomination by the Home University and Application by the Student.

Step 1: Nomination by Partner University

The International Relations Office (IRO) of the partner university must officially nominate their students via email to iro@unpar.ac.id. Nominations must be submitted within the designated nomination Period.

The nomination email must include the following details for each student:

  • Full Name (as written in passport)
  • Date of Birth
  • Gender
  • Field of Study / Major
  • Current Academic Year
  • Email Address
  • Period of Exchange (e.g., Semester 1, Academic Year 2024/2025)

Once the nomination is received and verified by UNPAR IRO, nominated students will receive an official acceptance letter of nomination and instructions on how to proceed with the online application.

Step 2: Online Application Submission

After being nominated, students must complete the application form. UNPAR utilizes an online admission system for mobility students. Students will receive login credentials or a link to the application portal via email.

During the application process, students are required to upload specific supporting documents. Incomplete applications will not be processed.

Required Documents

All documents must be provided in English. If the original document is in another language, a certified sworn English translation must be attached. The following documents are mandatory for the application:

  • Application Form: Completed and signed online application form.
  • Curriculum Vitae (CV) / Resume: A current resume detailing educational background and extracurricular activities.
  • Letter of Nomination: Official nomination letter from the partner university (issued by the IRO or equivalent authority).
  • Transcript of Records: An official academic transcript from the home university showing grades obtained thus far.
  • Proof of English Proficiency: Although UNPAR does not always require a formal score like IELTS or TOEFL for students from English-speaking countries or non-native speakers who have sufficient proof of English capability (e.g., studying in an English-medium program), we recommend submitting a score. A minimum IELTS score of 6.0 or TOEFL iBT of 80 is generally recommended to ensure academic success. If no formal test score is available, a letter of recommendation from an English professor attesting to proficiency may be accepted.
  • Learning Agreement: A preliminary list of courses the student wishes to take at UNPAR. This should be signed by the academic advisor at the home university.
  • Copy of Passport: Scanned copy of the personal data page of the passport. The passport must be valid for at least 12 months from the intended date of arrival.
  • Passport-sized Photograph: A recent color photograph with a white background (4x6 cm).
  • Health Insurance Statement: Proof of health insurance coverage valid in Indonesia. If the student obtains insurance upon arrival, a declaration letter stating this is sometimes accepted temporarily, but full coverage is mandatory before the semester starts.
  • Financial Support Statement: A bank statement or sponsorship letter proving the student has sufficient funds to cover living expenses in Indonesia for the duration of the exchange (approx. USD 500 - 800 per month).

Academic Information & Course Selection

UNPAR offers a wide range of courses across nine faculties: Economics, Law, Engineering, Industrial Technology, Information Technology & Science, Social and Political Sciences, Philosophy, Psychology, and Communication Science.

Exchange students are generally allowed to take courses from different faculties, provided they meet the prerequisites and manage their schedule without overlapping class times. We advise students to prepare alternative course options in case their first-choice classes are full or not offered in the specific semester.

The course catalog (Kurikulum) is available on the official university website. However, for the most accurate schedule of the upcoming semester, exchange students should consult with the UNPAR IRO team after acceptance.

Important Deadlines

To ensure a smooth application and visa process, partners and students must adhere to the following deadlines:

Arrival / Orientation Mid-August Early February
Note: Applications received after the deadline may still be considered on a case-by-case basis, but late applicants may face difficulties with visa processing and on-campus accommodation.

Visa & Immigration

Upon acceptance to the program, UNPAR will issue an official Acceptance Letter. This letter is crucial for the visa application process.

Exchange students must apply for a Visa Index 211 (Visit Stay Visa) for the purpose of Short-term Student/Exchange. This visa is valid for 60 days upon arrival and can be converted into a Temporary Stay Permit (KITAS) typically valid for 6 months (one semester) or 12 months (two semesters).

UNPAR IRO will assist students by providing the sponsorship letter (Telex Visa) required by the Indonesian Immigration office to apply for the Visa Index 211 at the nearest Indonesian Embassy or Consulate in the student's home country.

Accommodation

UNPAR does not automatically provide on-campus housing for exchange students. However, the university maintains cooperation with several student dormitories nearby. Information regarding recommended dorms and off-campus housing (kos-kosan) will be shared by the IRO once the student is accepted. It is highly recommended to arrange accommodation prior to arrival in Bandung.
