Conference Booking Terms & Conditions
Welcome to our conference booking portal. By completing a reservation with us, you agree to be bound by the following terms and conditions. Please read them carefully before confirming your booking.
1. Definitions
- Organizer The company or entity providing the conference venue and related services.
- Client The individual or organization that books the conference space.
- Booking Confirmation The electronic email or document issued by the Organizer confirming receipt of the reservation and payment, if applicable.
- Event The conference, workshop, meeting, or other gathering scheduled for the booked dates.
2. Booking Process
- The Client selects a venue, date(s), and any optional services (AV equipment, catering, accommodation, etc.) and submits a booking request.
- The Organizer reviews the request and issues a Booking Confirmation, which includes a unique reference number, total cost, and payment instructions.
- Only after the Organizer receives the required payment (or a deposit where stipulated) is the reservation considered firm.
3. Payment Terms
- Deposit: A nonrefundable deposit of 30% of the total fee is required within five (5) business days of receiving the Booking Confirmation, unless otherwise agreed.
- Balance: The remaining balance must be paid no later than thirty (30) days before the Event start date. If the balance is not received by this date, the Organizer reserves the right to cancel the booking.
- Accepted Methods: Credit cards (Visa, MasterCard, American Express), bank transfer, and PayPal are accepted. All payments are processed in US dollars unless otherwise specified.
- Late Payment Fee: A late fee of 2% of the outstanding amount will be added for each week the payment is overdue.
4. Cancellation & Refunds
Cancellation requests must be submitted in writing to booking@example.com. The following schedule applies:
- More than 60 days before the Event 100% refund of any payments received, less the nonrefundable deposit.
- 3059 days before the Event 50% refund of the balance; the deposit is retained.
- Less than 30 days before the Event No refund; the full amount already paid will be retained.
If the Organizer cancels the Event for any reason, a full refund of all payments will be issued, and the Organizer will not be liable for any other costs incurred by the Client.
5. Rescheduling
Requests to change the date or venue are subject to availability. The Client must submit a written request at least thirty (30) days prior to the originally booked date. If the Organizer can accommodate the change, any additional costs or savings will be reflected in a revised invoice. No additional fee is charged for a reschedule that occurs at least 60 days before the original date; otherwise, the standard cancellation fees apply.
6. Force Majeure
Neither party shall be liable for failure to perform its obligations where such failure is caused by events beyond reasonable control, including but not limited to natural disasters, acts of war, civil unrest, pandemic outbreaks, or governmental restrictions. The party affected by a force majeure event shall notify the other party promptly and may elect to either (a) suspend performance until the event ceases, (b) reschedule the Event, or (c) terminate the agreement with a full refund of any prepaid amounts (excluding the nonrefundable deposit).
7. Liability & Indemnity
- The Organizer shall maintain appropriate public liability insurance covering the venue and services provided.
- The Client is responsible for any damage caused by its attendees, vendors, or contractors and shall indemnify the Organizer against any claims, losses, or expenses arising from such damage.
- The Organizer shall not be liable for any indirect, consequential, or punitive damages arising out of the Event, including loss of revenue or reputational harm.
8. Use of Venue
- The Client must comply with all venue rules, local laws, and health & safety regulations.
- Smoking, vaping, and the use of illegal substances are strictly prohibited on the premises.
- All decorations, signage, and equipment must be approved by the Organizer prior to installation.
- Audiovisual equipment may only be operated by qualified personnel provided either by the Organizer or approved third parties.
9. Confidentiality
Both parties agree to keep all proprietary information, contracts, and any personal data relating to the Event confidential, except where disclosure is required by law or is necessary to fulfill the obligations under this agreement.
10. Governing Law & Dispute Resolution
These terms and any dispute arising out of them shall be governed by the laws of the State of New York, United States. Any dispute that cannot be resolved amicably shall be submitted to binding arbitration in New York City, in accordance with the Rules of the American Arbitration Association.
11. Amendments
No amendment, modification, or waiver of any provision of these terms shall be effective unless it is in writing and signed by both the Organizer and an authorized representative of the Client.
