Email Writing Format ICSE Class 9

1. When to Use a Formal Email

2. Parts of a Formal Email

The subject line tells the receiver the purpose of the mail in a few words. Keep it clear, concise, and directly related to the content.

2.2. Salutation (Greeting)

Use a respectful greeting followed by the recipients title and surname.

2.3. Opening Sentence

2.4. Body Paragraph(s)

The body gives details, explains the reason, and provides any supporting information. Keep the language formal, avoid slang, and organize ideas logically.

  • Explain the situation briefly.
  • State the action you want the receiver to take.
  • If applicable, propose an alternative or give a timeline.
I was unable to complete the assignment because my family had to travel unexpectedly due to a medical emergency. I have completed most of the research and will be able to finish the remaining part within two days. Kindly consider granting me an additional two days, till 14May, to submit the completed work.

2.5. Closing Sentence

End politely, expressing gratitude and offering to provide further information if needed.

2.6. Signoff (Complimentary Close) and Signature

Use an appropriate closing phrase followed by your full name, class, and contact details (if required).

3. Formatting Guidelines

  • Font: Use a standard, readable font such as Times New Roman or Arial, size 12pt.

  • Read the question carefully: Identify the type of email required and the key points to include.
