Career Planning Policy

Purpose

The Career Planning Policy aims to provide a structured framework that supports employees in identifying, developing, and achieving their professional goals while aligning individual aspirations with the organizations strategic objectives. By fostering a culture of proactive career management, the policy enhances talent retention, promotes skill development, and ensures a ready pipeline of capable leaders.

Scope

This policy applies to all fulltime, parttime, and contract staff across all business units and geographic locations. It covers:

  • Career development planning
  • Skillgap analysis
  • Training and development opportunities
  • Mentoring and coaching programmes
  • Internal mobility and succession planning

Core Principles

  1. Equity and Inclusion: All employees have equal access to career resources regardless of role, gender, age, or background.
  2. Transparency: Career pathways, criteria for promotion, and learning opportunities are clearly communicated.
  3. Employee Ownership: Individuals are encouraged to take responsibility for their own development.
  4. Organizational Alignment: Personal growth plans are linked to business needs and future skill requirements.
  5. Continuous Improvement: Feedback loops ensure the policy evolves with changing market dynamics.

Roles & Responsibilities

Employees

  • Complete a selfassessment and identify career objectives at least once a year.
  • Engage with managers to discuss development plans and seek relevant learning opportunities.
  • Track progress against agreed milestones and adjust goals as needed.

Managers

  • Facilitate regular careerdevelopment discussions during performance cycles.
  • Identify skill gaps and recommend appropriate training or mentorship.
  • Support internal mobility by informing employees of open positions that match their aspirations.

Human Resources (HR)

  • Maintain the careerplanning toolkit, templates, and online portal.
  • Coordinate organizationwide training programs and track participation metrics.
  • Monitor policy compliance and generate annual reports for senior leadership.

Career Planning Process

Step 1 SelfAssessment
Employees use the Career SelfAssessment Questionnaire to evaluate strengths, interests, and competencies.
Step 2 Goal Setting
Together with their manager, employees set shortterm (1218 months) and longterm (35 years) career goals.
Step 3 Development Plan
A written Individual Development Plan (IDP) outlines required training, stretch assignments, and mentorship arrangements.
Step 4 Execution & Tracking
Employees record completed courses, project outcomes, and feedback in the Career Management System.
Step 5 Review & Adjust
At least annually, the manager and employee review progress, celebrate achievements, and revise the IDP as needed.

Implementation Timeline

The rollout will occur in three phases:

  1. Phase 1 Foundations (03 months): Publish policy, launch the online portal, and train HR staff.
  2. Phase 2 Pilot (49 months): Select two business units for a pilot, gather feedback, and refine tools.
  3. Phase 3 Organizationwide (1012 months): Full deployment, integration with performance management, and start of annual reporting.

Monitoring & Review

Policy effectiveness will be measured using the following key performance indicators (KPIs):

  • Percentage of employees with an active IDP (target85%).
  • Internal promotion rate versus external hiring (target60% internal).
  • Employee satisfaction score on career development (target4.0/5).
  • Training hours completed per employee per year (target40hours).

The HR Steering Committee will review the policy annually, incorporating employee feedback, labourmarket trends, and businessstrategy updates.
