Adult Nutrition & Hydration Policy for Community Use
Guidelines to ensure safe, adequate, and culturallyappropriate nutrition and fluid intake for adults in communitybased settings.
Purpose
The purpose of this policy is to provide clear, evidencebased guidance for community organisations, senior centres, daycare programs, and other public services that serve adult populations. The policy aims to:
- Promote optimal health through balanced nutrition and adequate hydration.
- Reduce the risk of malnutrition, dehydration, and related health complications.
- Ensure that all adults, regardless of ability, culture, or socioeconomic status, have access to safe and appropriate food and fluids.
- Support staff in delivering consistent, highquality nutrition care.
Scope
This policy applies to any communitybased program that provides meals, snacks, or drinks to adults (18years and older). It includes:
- Adult daycare centres
- Community health clinics
- Senior citizen centres
- Homeless shelters
- Recreational and educational programs
It does not replace clinical nutrition therapy prescribed by a registered dietitian for individuals with specific medical conditions.
Key Definitions
- Malnutrition: A state of nutrition where a deficiency, excess or imbalance of nutrients impairs health.
- Dehydration: Body water loss exceeding intake, leading to physiological disturbance.
- Balanced diet: A diet that contains appropriate proportions of carbohydrates, proteins, fats, vitamins, and minerals.
- Special dietary needs: Any requirement for modification based on health, cultural, religious, or personal preferences.
Roles & Responsibilities
Program Manager
- Ensure policy implementation and periodic review.
- Allocate resources for food purchase, storage, and staff training.
Nutrition Coordinator / Dietitian (if available)
- Conduct menu planning using nutrition standards.
- Provide nutrition education to staff and participants.
- Oversee monitoring of intake and health outcomes.
Staff (cooks, aides, volunteers)
- Follow safe food handling procedures.
- Offer a variety of foods and fluids at each meal.
- Record any refusals, allergies, or adverse reactions.
Policy Statements
1. Nutrition Standards
All meals shall meet at least 70% of the Daily Recommended Intake (DRI) for adults as defined by the latest Dietary Guidelines for Americans. Menus must include:
- Whole grains or highfiber carbohydrates
- Lean protein sources (e.g., poultry, fish, legumes, lowfat dairy)
- At least two servings of fruit and three servings of vegetables per day
- Healthy fats such as nuts, seeds, or olive oil
2. Hydration Requirements
Adults should receive a minimum of 1.5L (6cups) of fluid each day, with adjustments for climate, activity level, and health status. Fluid options must include water, milk, and 100% fruit or vegetable juices (limited to 240mL per serving).
3. Special Dietary Needs
Programs shall identify and accommodate:
- Allergies and intolerances (e.g., glutenfree, lactosefree)
- Medical diets (e.g., lowsodium, diabetic, renal)
- Cultural or religious preferences (e.g., halal, kosher, vegetarian)
Documentation of each participants needs must be maintained and reviewed at least annually.
4. Food Safety & Handling
All staff must be trained in safe food handling, personal hygiene, and temperature control. Key points include:
- Storage temperatures: 4C for refrigeration, 60C for hot holding.
- Use of approved sanitising agents for surfaces and equipment.
- Regular checks for spoilage and proper labeling of leftovers.
5. Monitoring & Documentation
Each participants intake should be recorded weekly using a simple checklist (see table below). Trends indicating inadequate intake trigger a referral to a qualified dietitian.

Education & Training

The policy will be reviewed every two years or sooner if new evidence emerges. Evaluation methods include:
- Periodic audits of menu compliance with nutrition standards.
- Analysis of intake records for trends in underconsumption.
- Participant satisfaction surveys (minimum 80% positive rating).
- Incident reports related to food safety or allergic reactions.
Action Plan: Findings from audits and surveys are reported to the Management Committee, which develops corrective actions and updates training modules accordingly.
